Position Summary
BCIT’s  Accessibility Services  is seeking a  temporary, full-time (1.0 FTE ) Access Assistant . This position serves as the first point of contact for all clients of the Accessibility Services. Responds to student and staff inquiries, and assists the Examination Coordinator with processing exam requests, exam invigilation, alternative format, ergonomic furniture and equipment requests as well as records management. Performs a variety of administrative support tasks, while demonstrating sensitivity to, and understanding of the challenges faced by students with disabilities.

Provides general instruction, training and technical support on the Accessibility Services software and invigilation systems, adaptive equipment and technology. The incumbent may be required to work outside normal operating hours based on service needs.

Duties & Responsibilities
General Client Support

Acts as Accessibility Services’ first point of contact to all visitors answers general exam-related and departmental inquiries, interprets and clarifies policies and procedures, refers to the appropriate staff members or services, including different BCIT areas as required, and clarifies Accessibility Services processes and services.

Advises prospective clients on requirements for the medical documentation necessary to qualify for Accessibility Services.

Screens prospective clients, schedules appointments, and ensures safe use of highly confidential student information including medical documents.

Examination support

Works with the Examination Coordinator on implementing the invigilation process, including receiving and processing exam requests, assigning invigilators, administering exams, liaising with students and faculty regarding exam requirements, and setting up exam access to coordinate secure and timely service delivery.

Retrieves and releases completed exams to instructors, advises instructors regarding academic integrity incidents. Prepares rooms for exams, sets up invigilation meetings for virtual exams. Invigilates, reads or scribes for exams as necessary.

Instruction, training and technical support

Facilitates the use, demonstrates and troubleshoots the Accessibility Services Test Centre software and invigilation systems, adaptive equipment and technology; provides support to invigilators.

Assists students and staff with installation, setting up, upgrades, training and troubleshooting of Adaptive Technology software and equipment. Maintains the software and hardware within the Accessibility Services Test Centre and Adaptive Lab. Processes and monitors equipment and ergonomic furniture available for loan to clients.

Assists with Accessibility Services database administration support.

Administrative supporting tasks

Performs a variety of administrative tasks including answering telephone enquiries, maintaining calendars, processing incoming and outgoing mail, maintaining student records and filing systems, preparing and taking minutes at meetings, and assisting Office Administrator and Examination Coordinator with miscellaneous administrative duties.

Processes student intakes andenters client documentation and information into Accessibility Services database.

Sets up and maintains student records. Participates in Records Custodian training and remains current with record keeping practices, policies and procedures and help maintain confidentiality of student personal information as per BCIT policies and FOIPOP .
