The Role
The Accounts Executive is responsible for the day-to-day financial administration of The Wave, ensuring that our accounting, purchasing, payroll and administrative systems operate efficiently, accurately and ethically.
The role also provides administrative support to our Human Resources function, helping maintain excellent employee records and supporting the smooth operation of the organisation.

Key Responsibilities
Financial Administration
* Prepare and issue client invoices accurately and promptly.
* Process supplier invoices and ensure timely payments.
* Reconcile bank accounts and financial records.
* Maintain accurate accounting records and supporting documentation.
* Monitor outstanding payments and liaise professionally with families and suppliers where appropriate.
* Support month-end and year-end financial reporting.
* Assist in preparing management accounts and financial summaries.
* Produce regular expenditure reports for the Executive Team.
* Monitor departmental spending against agreed budgets.
* Support cashflow planning and financial forecasting.
* Assist with annual budgeting and organisational financial projections.
* Prepare documentation required by auditors and external accountants.

Purchasing & Procurement
Working collaboratively with every department, the Accounts Executive will:
* Coordinate purchasing requests.
* Ensure purchasing follows agreed approval processes.
* Monitor supplier costs and value for money.
* Build positive relationships with trusted suppliers.
* Assist departments in planning expenditure responsibly.
* Help ensure resources are available to support excellent clinical care.

Payroll & Statutory Compliance
Support the preparation and administration of monthly payroll, including:
* Salaries
* Overtime
* Public holiday payments
* Annual leave adjustments
* Allowances where applicable
Ensure compliance with all Malaysian statutory requirements, including:
* EPF
* SOCSO
* EIS
* PCB
Maintain complete confidentiality in all payroll matters.

Human Resources Administration
Provide administrative support including:
* Employment contracts
* Personnel files
* Staff onboarding documentation
* Leave administration
* Attendance records
* Probation reviews
* Confirmation of employment documentation
* Recruitment administration
* Staff record maintenance
Support the Executive Team in maintaining accurate employee records and ensuring all HR documentation is up to date.

Essential Qualifications & Experience
* Diploma or Degree in Accounting, Finance or a related discipline.
* Previous experience in accounting or finance.
* Experience preparing payroll.
* Good understanding of Malaysian statutory requirements, including EPF, SOCSO, EIS and PCB.
* Competence in Microsoft Excel and accounting software.
* Excellent organisational and administrative skills.
Experience within healthcare, hospitality or an international organisation would be an advantage but is not essential.
