SUMMARY

Under the supervision of the Senior Payroll Administrator, the Accounts Payable Administrator is responsible for processing invoices in IFS, the enterprise resource planning (ERP) system, and processing check requests, ensuring all appropriate approvals have been received.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Review all invoices for appropriate documentation, coding, and approval prior to payment.

Enter all invoices received into IFS within the week they are received.

Process credits as they are received.

Process weekly check requests.

Mail or distribute checks, as required

Reconcile all vendor statements, researching and correcting discrepancies. Provide the Site Controller with copies of the reconciliations for review.

Research and answer all vendor inquiries.

Review pending invoices in IFS for all items older than 30 days. Provide a copy of reconciliation to Site Controller of all items, including a reason items are not posted.

Review the Received but Not Invoiced Inventory and Non-Inventory reports. Request invoices for vendors as necessary. Provide a copy of the review to the Site Controller indicating if an invoice has been requested from the vendor or if the item has been paid.

Work with Warehouse and Purchasing staff to troubleshoot issues with invoices as they arise.

Maintain all accounts payable reports, spreadsheets, and files.

Assist in monthly closing.

Process outgoing mail and deliver mail to the post office daily. Sort and distribute incoming mail from the post office.

Reconcile petty cash account monthly.

Collect miscellaneous cash receipts and submit to Corporate for deposit.

Maintain and request Form W-9s for all vendors.

Assist with generating annual 1099s.

Answer main switchboard calls and route calls to Lucky Friday team members.

Provide general office support, including filing, typing, copying, and faxing.

Back up other areas of the Administration department as needed, including Payroll and the Warehouse.

Complies with applicable environmental laws and regulations. Conducts activities and work in an environmentally responsible manner. Is aware of procedures to minimize impacts to the environment.

Follows and understands MSHA rules and regulations, SOP and work area instructions, participates in safety activities. Must be willing to comply with all company policies and procedures, especially with regard to Safety, Human Resources, and Environmental.

Communicate with co-workers, management, outside contractors and vendors, and employees in a courteous and professional manner.

QUALIFICATIONS

High school diploma or equivalent. Associate’s degree preferred.

Two years’ administrative office experience.

Prior accounts payable experience.

Proficient with accounts payable software systems.

Must be computer literate and proficient in Excel.

Prior experience in the mining sector preferred.

Must be able to work independently, as well as a member of a team.

Must be self-motivated.

Must have a valid driver’s license.

Must have flexibility with scheduling and be willing to work early mornings, nights, and weekends as needed.

Must be proficient in Microsoft Office, including Word, Excel, and Outlook.

Must be able to communicate clearly both verbally and in writing.

Ability to organize and write procedures in a logical/methodical manner.

Good time management skills.

Excellent attention to detail.

Must be able to maintain confidentiality.
