Position Overview
We are seeking a highly
organized and detail-oriented
Admin and Accounts Executive to provide essential support to both administrative operations and financial functions of our company. This dual-focused role combines office administration with accounts receivable, collections, and reconciliation responsibilities, requiring exceptional organizational skills and basic accounting knowledge. Key Responsibilities
Accounts Receivable & Collections
Manage accounts receivable processes, including invoice generation and distribution
Follow up on overdue payments and conduct collections activities with customers
Track incoming payments and reconcile accounts
Identify and resolve billing discrepancies and payment issues
Maintain accurate client payment records and generate aging reports
Handle above functions for both domestic and overseas clients
Financial Administration
Perform monthly account reconciliations for accuracy and completeness
Support month-end and year-end closing procedures
Help prepare financial documents and reports as needed by the Finance Manager
Maintain organized financial records and documentation
Handle above functions for both domestic and overseas clients
Office Administration
Manage general office administration, correspondence, and filing systems
Serve as the first point of contact for employees, office visitors and incoming communications
Order and maintain office supplies and equipment
Schedule meetings, appointments, coordination and calendar management
Travel and accommodation arrangements for employees
Support basic HR functions including scheduling interviews, onboarding, relieving etc.
Handle facilities management tasks and liaise with service providers
Organize and maintain digital and physical filing systems
Requirements
Bachelors’ or Masters’ degree in accounting, business administration, or related field
3-5 years of experience in accounts receivable/collections and also admin support
Basic understanding of accounting principles and financial processes
Strong proficiency with Microsoft Office Suite, particularly Excel
Experience with
accounting software, such as Zoho Books
Excellent organizational skills and
attention to detail
Effective communication
skills for collections and client interactions
Ability to prioritize tasks and manage time effectively in a multi-function role
Professional demeanor and discretion when handling confidential information
Desired Skills
Experience with
SaaS or subscription-based billing models is preferred
Knowledge of office management best practices
Familiarity with CRM and Accounting systems
Problem-solving
