We are looking for a proactive and detail-oriented Admin Assistant to join our team in the construction industry. The ideal candidate will have 2-4 years of experience in administrative or office support roles, with excellent organizational skills and the ability to multitask in a fast-paced environment.
Key Responsibilities
Office Management
Manage office supplies, equipment, and inventory to ensure seamless operations.
Maintain a clean, organized, and professional office environment.
Coordinate with vendors and service providers for office maintenance and repairs.
Administrative Support
Schedule meetings, appointments, and travel arrangements.
Prepare and distribute correspondence, memos, and reports.
Maintain and update filing systems (both physical and digital).
Communication & Coordination
Act as the first point of contact for visitors and phone calls, ensuring excellent customer service.
Liaise with internal teams and external stakeholders to facilitate smooth communication.
Handle incoming and outgoing mail, emails, and packages.
Documentation & Record-Keeping
Assist in preparing and formatting documents, presentations, and spreadsheets.
Maintain accurate records of office expenses, invoices, and budgets.
Ensure confidentiality and security of sensitive information.
Qualifications & Requirements
Education:
High school diploma (mandatory).
Bachelor’s degree in Business Administration, Office Management, or a related field (preferred).
Experience:
2-4 years of experience in administrative or office support roles.
Prior experience in the construction industry or a similar fast-paced environment is a plus.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with office management software (e.g., SAP, Oracle) is a plus.
Basic knowledge of document management systems.
Soft Skills:
Strong organizational and time management skills.
Excellent communication and interpersonal abilities.
Attention to detail and problem-solving skills.
Ability to work independently and collaboratively.
