Profile Requirements:
- Proven experience in an administrative or office support role, preferably within property maintenance, construction, or trades services
- Hands-on experience using ServiceM8 for job scheduling, tracking, and workflow management
- Strong working knowledge of MYOB, including invoicing, accounts payable/receivable, and basic reconciliations
- Excellent written communication skills and a professional approach when dealing with clients, tenants, and contractors
- Strong organisational and time management skills, with the ability to juggle multiple jobs and deadlines
- High attention to detail and accuracy across data entry, job tracking, and financial records
- Ability to work independently while also contributing effectively within a team environment
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and confidence using cloud-based systems
Core responsibilities:
- Monitor and respond to emails and online service requests, ensuring all enquiries are actioned in a timely manner
- Schedule, allocate, and coordinate maintenance jobs with tradespeople and external contractors
- Create, update, and track work orders using ServiceM8, ensuring all job details, notes, and progress are accurately recorded
- Prepare and issue quotes, invoices, and purchase orders, and follow up on outstanding payments when required
- Process payments, reconcile accounts, and assist with day-to-day bookkeeping tasks using MYOB
- Maintain accurate and well-organised records of client information, job histories, and property details
- Liaise with property managers, landlords, tenants, and suppliers to ensure clear communication and timely job completion
- Provide general administrative support including data entry, document preparation, reporting, and other ad hoc office duties
