Admin Assistant – Financial Services – Quincy – Hybrid
A growing Boston-area alternative investment firm is seeking an organized, proactive Administrative Assistant to support daily office operations and provide administrative support to senior leadership. This is an excellent opportunity to join a collaborative, fast-paced investment environment where you'll play a key role in keeping the office running smoothly.
Responsibilities:
- Oversee day-to-day office operations, supplies, kitchen, and facilities
- Greet clients and visitors, coordinate conference rooms, and ensure meeting spaces are client-ready
- Support senior executives with administrative tasks and special projects
- Assist with vendor management, accounts payable, IT coordination, and HR administration
- Coordinate internal meetings, company events, and office lunches
- Help maintain an efficient, professional, and welcoming office environment
Qualifications:
- 4+ years of office management or executive/administrative support experience, preferably within investment management or financial services
- Bachelor's degree preferred
- Strong organizational and multitasking skills with exceptional attention to detail
- Proficiency in Microsoft Office; familiarity with AI tools is a plus
- Excellent communication and interpersonal skills
- Self-motivated, resourceful, and able to thrive in a fast-paced, team-oriented environment
- High level of professionalism, discretion, and integrity
