Purpose of the Role:

  • Provide comprehensive administrative support to ensure the smooth operation of the executive office. This role involves performing various administrative tasks to support the executive team.

Key Responsibilities:

Administrative Support

  • Manage travel arrangements for executive team and their respective staff groups.
  • Screen and direct phone calls, inquiries, and requests, and handle them when appropriate.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Process workflows for purchase orders, capex for laptop orders, claims for approval, recons for approvals.
  • File and retrieve documents and reference materials.
  • Manage and reconcile expense reports i.e. mileage claims, expense claims, credit card recons etc. for executive team and their respective staff groups.
  • Handle confidential information with discretion.

Meeting Coordination

  • Assist with the scheduling and organizing of meetings, including booking venues, arranging catering, and preparing agendas.

Communication

  • Act as a point of contact among executives, employees, clients, and other external partners.
  • Draft and send emails, memos, and other communications on behalf of the executive team.
  • Manage information flow in a timely and accurate manner.

Office Management

  • Maintain office supplies and equipment, ensuring everything is in working order.
  • Organize and maintain the office filing system.
  • Provide general administrative support, including mailing, scanning, and copying.
  • Meet and greet visitors at all levels of seniority.

Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Qualifications & Experience:

  • Matric.
  • A diploma or degree in Business Administration, Office Management, or a related field would be advantageous.
  • Proven experience as an administrative assistant or in a similar role, preferably supporting senior executives.

Working Conditions:

  • This role may require occasional overtime and flexibility in working hours.
  • The position is based in an office environment with standard office equipment.
