Purpose of the Role:
- Provide comprehensive administrative support to ensure the smooth operation of the executive office. This role involves performing various administrative tasks to support the executive team.
Key Responsibilities:
Administrative Support
- Manage travel arrangements for executive team and their respective staff groups.
- Screen and direct phone calls, inquiries, and requests, and handle them when appropriate.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Process workflows for purchase orders, capex for laptop orders, claims for approval, recons for approvals.
- File and retrieve documents and reference materials.
- Manage and reconcile expense reports i.e. mileage claims, expense claims, credit card recons etc. for executive team and their respective staff groups.
- Handle confidential information with discretion.
Meeting Coordination
- Assist with the scheduling and organizing of meetings, including booking venues, arranging catering, and preparing agendas.
Communication
- Act as a point of contact among executives, employees, clients, and other external partners.
- Draft and send emails, memos, and other communications on behalf of the executive team.
- Manage information flow in a timely and accurate manner.
Office Management
- Maintain office supplies and equipment, ensuring everything is in working order.
- Organize and maintain the office filing system.
- Provide general administrative support, including mailing, scanning, and copying.
- Meet and greet visitors at all levels of seniority.
Skills:

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Qualifications & Experience:
- Matric.
- A diploma or degree in Business Administration, Office Management, or a related field would be advantageous.
- Proven experience as an administrative assistant or in a similar role, preferably supporting senior executives.
Working Conditions:
- This role may require occasional overtime and flexibility in working hours.
- The position is based in an office environment with standard office equipment.
