About the Role

The Admin Officer will be responsible for ensuring the smooth and efficient functioning of the organization’s administrative processes. This role will involve overseeing daily office operations, managing organizational resources, and supporting program teams to achieve their objectives effectively.

Key Responsibilities

Office Administration:

Oversee day-to-day office operations, including facility management, maintenance, and supplies.

Ensure proper documentation and filing of organizational records, contracts, and reports.

Manage correspondence and communication with external stakeholders, vendors, and partners.

Organize and maintain office infrastructure, including IT systems, stationery, and other office resources.

Event and Meeting Support:

Coordinate logistics for meetings, workshops, training sessions, and events.·

Arrange travel and accommodation for staff and guests as needed.

Prepare meeting agendas, take minutes, and circulate follow-up action items.

Procurement and Vendor Management:

Manage procurement processes in line with organizational policies, including vendor selection and contract negotiation.

Maintain an updated vendor database and ensure timely payment of bills and invoices.

Human Resources Support:

Support onboarding and orientation of new employees by ensuring administrative readiness.

Maintain updated personnel files and attendance records.

Assist in tracking employee leave and coordinating HR-related documentation.

Compliance and Reporting:

Ensure compliance with local labor laws and organizational policies in administrative processes.

Prepare and submit periodic administrative reports to senior management.

Asset and Inventory Management:

Maintain an accurate inventory of office assets and resources.

Oversee the allocation and usage of office equipment, ensuring accountability and upkeep.

Educational Requirements

Bachelor of Business Administration (BBA) in Management

Bachelor of Business Administration (BBA)

Bachelor’s Degree in Business Administration, Management, or a related field.

Experience Requirements

3 to 5 year(s)

The applicants should have experience in the following business area(s): NGO

Additional Requirements

At least 3-5 years of experience in office administration or a similar role, preferably in the non-profit or development sector.

Strong organizational and multitasking skills.

Excellent written and verbal communication abilities.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
