Job Summary
Are you a people-person with sharp organizational instincts and a passion for building great workplaces? We're looking for an Administration and Workforce Operations Officer to join our Management Department and report directly to our COO. In this role, you'll be the go-to person for everything related to our people, from recruitment and onboarding to performance management and Learning & Development. You'll work closely with our external HR consultant, C-suite, and Executive Management to keep our workforce operations running smoothly and our culture thriving.
What you’ll do
- Implement and enforce company policies developed with our consultant and service partners, ensuring they follow laws and regulations and are clearly communicated to staff and contractors
- Manage the full recruitment cycle: collect job requirements, help prepare JDs, screen CVs, conduct initial interviews, coordinate interviews, and do reference checks
- Run the structured onboarding and offboarding programs, ensuring all required documents are completed and signed for new, existing, and departing staff
- Coordinate technical and HR interviews, manage candidate pipelines, and track key hiring metrics like time-to-fill and source of hire
- Discuss and negotiate offers with candidates, guiding them through the hiring process to ensure a positive experience
- Use recruitment tools such as LinkedIn Recruiter and internal tracking systems to manage candidates efficiently
- Help prepare and implement KRAs and KPIs, and support managers through the performance appraisal cycle
- Help analyze performance review results to identify training and development needs
- Be the first point of contact for employee questions, workplace concerns, conflicts, or grievances handling each with empathy, fairness, and confidentiality
- Keep employee records confidential, accurate, secure, and up to date
- Organize company events, meetings, and training sessions
- Prepare regular reports and summaries on workforce metrics, including employee turnover and recruitment progress
Must Have
- Proven at least 1 year experience in HR, administration, or workforce operations
- Good verbal and written communication skills; able to explain information clearly to staff
- Ability to handle sensitive and confidential information with discretion
- Strong organizational and time-management skills with attention to detail
- Good people skills; able to build rapport at all levels of the organization
- Proficiency in HRIS systems and Microsoft Office Suite (especially Excel)
Nice To Have
- Experience using recruitment tools like LinkedIn Recruiter and internal tracking systems
- Experience working with an external HR consultant alongside internal managers
- Familiarity with maintaining relationships with recruiters, colleges, and universities to source interns and talent
- Exposure to employment contract review and policy compliance processes
- Experience preparing workforce reports and analyzing performance review trends
