The Opportunity

We are hiring a motivated, positive and highly organised Administration Assistant to support our Melbourne team. This is an entry level role, ideal for a recent graduate wanting hands-on experience in talent agency operations, client communication, and database administration.

Hours and Location

  • Part time: 2 days per week, 9:00am to 5:30pm
  • Preferred day combinations: Mon + ThuTue + Thu, or Tue + Fri
  • Location: Camberwell, Melbourne 

Core Responsibilities

  • Reception and admin support: answer calls, manage inboxes, respond to client and parent enquiries
  • Schedule and coordinate talent onboarding: bookings, confirmations, photoshoots
  • Maintain accurate talent and client records: internal CRM, OneDrive, Excel, industry databases
  • Update talent profiles and photographs across required platforms
  • General office administration: documentation control, process adherence, filing, coordination
  • Support the team with day-to-day agency operations and priorities as directed

Optional Additional Work: Photoshoot Assistant (paid separately)

From time to time you may be offered an additional photoshoot day (separate to your 2-day weekly role). This work is outside the standard roster and remunerated separately in line with the applicable award.

What We’re Looking For

  • Strong attention to detail and high accuracy
  • Confident, warm and professional communication (phone and email)
  • Strong organisation and ability to follow systems and checklists
  • Proficiency with Microsoft Office (especially Outlook and Excel) and cloud file management
  • Ability to work independently and as part of a small team in a fast-paced environment
