Job Overview

The postholder will provide clerical support to the department (Aneurin Bevan Specialist Drug and Alcohol Service), based in Newport as well as reception duties.

To answer general queries.

To carry out administrative tasks for the department.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Main duties of the job

  • To act as receptionist for the service, deal efficiently with telephone calls, record incoming messages exercising own

judgement to relay to staff appropriately.

  • To cover other duties in times of staff shortages and holidays within the Aneurin Bevan Specialist Drug and Alcohol Service,

pan Gwent, as directed by the Service Administration Manager, appropriate to Band 2 level.

  • At all times display an approachable manner and good customer service skills when dealing with service users and members

of the public.

  • To work within specified timescales/deadlines, to work flexibly and prioritise work as necessary
  • To process both incoming and outgoing mail, dealing with all correspondence in an appropriate and timely manner.
  • To follow ABUHB and departmental policies and procedures.
  • To perform regular housekeeping for the database to ensure its efficiency
  • To carry out routine clerical duties, to include photocopying and filing.
  • To undertake any appropriate training as determined/agreed with Service Admin Manager.
  • Work as a member of the administrative support team.

Qualifications

Essential criteria

  • Knowledge of administrative systems, admission, patient information systems, hospital departments, clerical / office procedures, data input procedures acquired through on-the-job training

Desirable criteria

  • Experience of working within an office environment
