Bajara Plant Hire Pty Ltd is one of Australia's largest Indigenous-owned Plant Hire and Civil Earthworks companies, proudly Supply Nation Certified and ISO-accredited. As we continue to grow, we're looking for a capable and motivated Administrative Assistant to join our Head Office team.

As an Administrative Assistant, you'll support our office and project operations by ensuring smooth day-to-day administrative processes. Reporting to the Finance and Office Managers and working closely with the operations team and project staff, your role will be vital in keeping our systems organised, updated, and compliant.

Key responsibilities

  • Provide general administrative support to office and executive staff
  • Accurately assess and reconciling project data for payroll and invoicing
  • Data entry and validation of timesheets, dockets, timesheets, and project records
  • Maintain and update key company registers (plant, fuel, licences, leave, etc)
  • Assist with basic accounts and invoicing processes. Xero experience highly regarded
  • Support document control and file management systems
  • Manage office supplies, stock levels, and procurement needs
  • Prepare reports and support internal communications
  • Ensure policies and procedures are current and accessible
  • Contribute to maintaining ISO systems in quality, WHS, and environment

What we are looking for:

  • Previous experience in an administrative, office support, or reception role (desirable)
  • Minimum 2+ years' experience in administrative, office support, or reception roles
  • High attention to detail and accuracy with data entry
  • Solid working knowledge of Microsoft Office (Word and Excel essential)
  • Strong organisational and communication skills
  • Ability to work independently and as part of a team
  • A proactive attitude and willingness to learn
  • Understanding of ISO systems or HSEQ compliance (a bonus – training provided)
  • Construction or logistics industry experience highly regarded, but not essential!
