Our client, a very well establish organization in the Los Angeles area is seeking a highly organized Administrative Analyst to support a large, multi‑department program. This role is ideal for someone with strong administrative, data‑tracking, and reporting experience who thrives in a collaborative, deadline‑driven environment. The priority for this role is focused on administrative coordination, documentation, and stakeholder communication. This is a long term contract opportunity.

Key Responsibilities

  • Lead the collection, tracking, and organization of data from internal project teams and reporting systems.
  • Assist in preparing quarterly program reports, monthly spending forecasts, budget baselining spreadsheets, and planned expenditure summaries.
  • Log and monitor funding requests and maintain accurate documentation across multiple platforms.
  • Draft and update program‑related memos, procedures, and reports.
  • Coordinate meetings through Outlook and support communication across stakeholder groups.
  • Manage a shared program inbox and support administrative tasks within internal workflow systems.
  • Create, refine, and maintain Excel worksheets; build dashboards using existing data.
  • Support a team‑oriented environment with strong communication and professionalism.

Experience & Education

  • Bachelor’s degree in a related field and four years of relevant experience; OR Master’s degree and two years of relevant experience; OR equivalent administrative experience in a similar public sector environment.
  • Knowledge of business management practices, project coordination, budgeting/finance concepts, financial tracking systems, and contract administration.
  • Ability to analyze and resolve procedural or organizational issues, manage projects, compile data, prepare reports, and use enterprise software systems.
  • Strong judgment, discretion, prioritization, and problem‑solving skills.
  • Strong administrative and organizational skills.
  • Excellent written and verbal communication.
  • Proficient in MS Word, Outlook, MS Forms, and Excel (XLOOKUP, INDEX/MATCH, PivotTables, PivotCharts).
  • Ability to collect data from staff and managers under tight timelines.
  • Skilled in preparing reports, drafting correspondence, and maintaining accurate documentation.

Pay Range

$48.00 – $51.00
