About Our Client

Our client is a well-established company operating in the real estate and project management sector. As part of its continued growth and involvement in large-scale projects, the company is looking for an Administrative Assistant to support its teams and ensure the smooth running of all administrative processes.

Key Responsibilities

As an Administrative Assistant, you will play a key role in supporting the business by ensuring efficient and accurate administrative operations.

Your main responsibilities will include:

  • Drafting and following up on correspondence for Project Managers, Contract Managers, and the Management team.
  • Managing incoming and outgoing correspondence.
  • Overseeing shared functional mailboxes, distributing requests, and responding to emails when appropriate.
  • Handling incoming telephone calls professionally and efficiently.
  • Maintaining digital filing systems and managing the archiving of important documents such as contracts, meeting minutes, and other administrative records.
  • Uploading and maintaining documentation on internal document management platforms.
  • Coordinating the annual review and update of stakeholder contact information.
  • Assisting with the preparation of internal and external presentations.
  • Consolidating, analysing, and presenting operational data while supporting the preparation of periodic management reports.
  • Ensuring administrative processes run smoothly, enabling operational teams to focus on their core responsibilities.

Profile

  • You hold an administrative qualification or have gained equivalent experience through your professional career.
  • You have at least five years of experience in a similar administrative support role.
  • You are fluent in Dutch and have a good command of both French and English.
  • You are proficient in Microsoft Office, particularly Word, Excel, Outlook, and PowerPoint, with strong Excel and data management skills.
  • You are highly organised, detail-oriented, and capable of managing multiple priorities simultaneously.
  • You are proactive, solution-oriented, and comfortable working both independently and as part of a team.
  • You are eager to learn, adaptable, and enjoy taking on new challenges.
  • You value accuracy and consistency, and you take pride in delivering high-quality administrative work, including routine and repetitive tasks.
