About the Role
We are seeking a highly organized and professional Administrative Assistant to provide administrative support to the Vice President of Patient Care Services & Chief Nursing Officer at a leading healthcare organization in Santa Barbara, CA.
This role is ideal for someone with 1–3 years of administrative support experience who thrives in a fast-paced, collaborative environment and enjoys supporting executive leadership. The successful candidate will be responsible for calendar management, scheduling, meeting coordination, communication, invoice tracking, and general administrative support while maintaining the highest level of professionalism and confidentiality.
Key Responsibilities
- Provide administrative support to the Vice President and department leadership.
- Manage complex calendars, scheduling, and meeting coordination.
- Prepare meeting materials, agendas, and record meeting minutes.
- Answer and screen phone calls, respond to emails, and direct inquiries appropriately.
- Coordinate travel arrangements as needed.
- Track invoices, submit orders, and assist with departmental administrative processes.
- Maintain office supplies and support department timekeeping activities.
- Prepare correspondence, reports, presentations, and other business documents.
- Enter and maintain data in departmental databases.
- Serve as a liaison between the Vice President, staff, and internal stakeholders.
- Support special projects and additional administrative duties as assigned.
Required Qualifications
- 1–3 years of Administrative Assistant or related administrative support experience.
- Associate degree preferred (experience may be considered in lieu of education).
- Strong organizational and time management skills.
- Experience with calendar management and scheduling.
- Experience tracking invoices or processing administrative documentation.
- Excellent verbal and written communication skills.
- Strong problem-solving abilities and attention to detail.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Comfortable working in a collaborative team environment.
- Ability to remain calm and professional under pressure.
- Intermediate proficiency in Microsoft Outlook, Word, and Excel.
- Typing speed of at least 45 WPM.
Preferred Qualifications
- Previous experience supporting executive leadership or senior management.
- Project management experience is a plus.
- Healthcare or hospital administrative experience is preferred.
