About the Role

We are seeking a dependable and highly organized Administrative Assistant / Front Desk Coordinator to serve as a central point of contact for clients, attorneys, courts, vendors, and other visitors.

This full-time, on-site position combines front-desk responsibilities, office administration, scheduling, document management, and basic billing support. The ideal candidate communicates professionally, handles confidential information with discretion, and remains organized and composed while managing multiple priorities.

Key Responsibilities

Front Desk and Client Service

  • Welcome clients and visitors in a professional and courteous manner.
  • Answer, screen, and route incoming telephone calls.
  • Schedule client appointments and maintain attorney calendars.
  • Receive and accurately relay messages.
  • Manage incoming and outgoing mail, deliveries, and correspondence.
  • Protect the confidentiality of client and firm information at all times.

Office Administration

  • Help oversee daily office operations and maintain an efficient, professional environment.
  • Prepare, organize, copy, scan, file, and retrieve documents.
  • Maintain accurate physical and electronic filing systems.
  • Draft, format, and assist with letters, emails, and other correspondence.
  • Monitor office supplies and coordinate orders when needed.
  • Monitor office equipment and arrange maintenance or repairs.
  • Coordinate with vendors, service providers, and building management.
  • Assist with meeting arrangements and other office logistics.

Billing and Financial Support

  • Assist with invoices, payments, and basic bookkeeping activities.
  • Track client payments and follow the firm’s billing procedures.
  • Coordinate with attorneys regarding billing questions or discrepancies.
  • Maintain accurate and confidential billing records.

Communication and Team Support

  • Serve as a point of contact among attorneys, staff, clients, courts, and outside parties.
  • Assist with internal scheduling and staff coordination.
  • Support attorneys and team members with administrative projects.
  • Follow established office procedures and applicable legal-compliance requirements.
  • Perform other duties as needed to support firm operations.

Required Qualifications

  • High school diploma or equivalent.
  • Strong written and verbal communication skills.
  • Excellent organizational, time-management, and prioritization abilities.
  • Strong attention to detail and document-formatting skills.
  • Professional telephone manner and client-service approach.
  • Ability to handle confidential and sensitive information with discretion.
  • Proficiency with Microsoft Word, Outlook, Excel, and general office technology.
  • Comfort using multi-line telephone systems and scheduling appointments.
  • Ability to learn new software and office systems.
  • Ability to work independently with minimal supervision and collaborate effectively with a team.
  • Ability to remain calm and professional in a fast-paced environment.
  • Dependable attendance and punctuality.
  • Ability to work full-time on-site in Buffalo, New York.

Preferred Qualifications

  • Previous experience as an administrative assistant, receptionist, office coordinator, or office manager.
  • Experience supporting attorneys, executives, or other professionals.
  • Prior experience in a law firm or professional-services environment.
  • Additional education or training in business, office administration, or a related field.

Position Details

  • Employment type: Full-time | 9 A.M. – 5 P.M. EST

  • Compensation: $45,000 – $55,000/year
