About New Mexico Military Institute:The New Mexico Military Institute (NMMI) is a state-supported, co-educational institution offering college preparatory education at the high school and junior college levels. With a student body of up to 1,000 cadets, NMMI provides a comprehensive academic experience complemented by Junior and Senior Reserve Officer Training Corps (ROTC) programs. The high school curriculum is fully accredited, preparing students for higher education. The junior college program facilitates cadet transfer to four-year colleges and universities. Additionally, NMMI houses the Intermediate Preparatory Academy (IPA) for grades 6-8. The IPA delivers a distinctive curriculum emphasizing immersive, intensive, hands-on learning in a structured environment.
Position Under general supervision, the Administrative Assistant to the Chief Financial Officer performs numerous clerical and administrative tasks, including, but not limited to, developing and maintaining office files and records, answering department calls and emails, scheduling activities and appointments, and planning and conducting research and special projects. This is a 12-month, non-exempt, full-time position with a pay rate of $17.12 per hour, that does not normally exceed 40 hours a week. This amounts roughly to $35,608.00 annually. Tasks:
· Maintaining office supplies, ensuring the office is tidy and organized, managing vendor relationships (e.g., for cleaning, repairs), and overseeing office equipment.
· Handling phone calls, managing email correspondence, drafting professional communications (letters, memos, reports), and acting as a point of contact for internal and external stakeholders.
· Coordinating meetings, appointments, and travel arrangements, managing calendars, and sending reminders.
· Other duties as assigned.
Essential Skills:
· Obtain knowledge of the NMMI Operations and Procedures Manual.
· Understanding best practices for office management, record-keeping, and communication.
· Expertise in word processing (e.g., Microsoft Word, Google Docs), spreadsheets (e.g., Microsoft Excel, Google Sheets), presentation software (e.g., PowerPoint, Google Slides), and email platforms (e.g., Outlook, Gmail). Familiarity with office management software and other relevant industry-specific tools can also be important.
· Understanding professional email etiquette, phone manners, and the ability to write clear and concise communications.
Qualifications:
Required:
· Associate’s Degree.
· Three (3) years of administrative experience or the equivalent of an Associate’s degree in business.
· Extensive computer experience.
Preferred:
· Bachelor’s Degree.
· Bilingual.
