Position Summary

Pushing Boundaries is seeking a highly organized, dependable, and adaptable Administrative Assistant to support the day-to-day operations of our nonprofit organization. Because we are a small team, this position is ideal for someone who enjoys variety, takes initiative, and is comfortable shifting between priorities as organizational needs change.

The primary focus of this role is administrative organization, data entry, recordkeeping, and general office support. The Administrative Assistant will also provide support for social media, events, fundraising activities, and other projects as needed.

Strong attention to detail is essential. We are looking for someone who enjoys creating order, keeping information accurate and up to date, completing tasks consistently, and helping a small organization operate efficiently.

Key Responsibilities

Administrative Support & Organization

  • Provide general administrative support to staff and organizational leadership.
  • Maintain organized electronic and physical files, records, and documents.
  • Assist with calendars, scheduling, correspondence, and routine communications.
  • Create and maintain spreadsheets, contact lists, tracking documents, and other administrative systems.
  • Help develop and maintain efficient organizational processes.
  • Prepare documents, reports, meeting materials, and other administrative materials.
  • Monitor deadlines and assist with follow-up on projects and action items.
  • Perform general office tasks and assist with day-to-day organizational needs.

Data Entry & Database Management

  • Accurately enter and update information in organizational databases and spreadsheets.
  • Maintain donor, member, participant, program, or other organizational records.
  • Review data for accuracy, consistency, and completeness.
  • Assist with database cleanup and organization.
  • Generate basic reports and lists as requested.
  • Maintain confidentiality and appropriate handling of organizational and constituent information.

Social Media & Communications Support

  • Assist with scheduling and posting approved content on social media platforms.
  • Help maintain an organizational social media calendar.
  • Assist with basic graphics, photos, event announcements, and promotional materials.
  • Update website or online information as needed.
  • Help gather information and content for newsletters, emails, and other communications.
  • Monitor social media accounts and help ensure information remains current and accurate.

Event & Fundraising Support

  • Provide administrative and logistical support for fundraising events, educational programs, meetings, and other organizational activities.
  • Assist with event registration, attendee lists, communications, supplies, and materials.
  • Assist in developing marketing materials and other event collaterals
  • Assist with marketing and promotion, including posting to social media as appropriate
  • Help coordinate vendors, venues, volunteers, and event logistics.
  • Maintain event planning checklists and timelines.
  • Assist with event setup, execution, and follow-up.
  • Support donor communications, fundraising campaigns, and other development activities.
  • Attend and assist with occasional fundraising events, including some events that may take place outside of regular business hours.

General Organizational Support

As part of a small nonprofit team, the Administrative Assistant may occasionally assist with projects or responsibilities outside of their primary duties. Team members are expected to be flexible, collaborative, and willing to help where needed to accomplish the organization’s goals.

Qualifications
Required

  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Experience with data entry, spreadsheets, databases, or recordkeeping.
  • Comfortable learning and using new technology and software.
  • Strong written communication skills.
  • Ability to manage multiple tasks and changing priorities.
  • Ability to work independently and follow projects through to completion.
  • Dependable and able to meet deadlines consistently.
  • Good judgment when handling confidential or sensitive information.
  • Willingness to take on a variety of responsibilities within a small organization.
  • Ability and willingness to attend occasional fundraising events as needed.

Preferred

  • Previous administrative or office experience.
  • Experience working with a nonprofit organization.
  • Familiarity with Microsoft Office and/or Google Workspace.
  • Experience with donor, membership, CRM, or other database systems.
  • Experience posting or scheduling content for Facebook, Instagram, TikTok, LinkedIn, or other social media platforms.
  • Experience assisting with events, conferences, fundraising activities, or community programs.
  • Basic experience with Canva or similar design tools.

Schedule

This is a full-time position, approximately 40 hours per week. The position requires attendance at occasional fundraising events, which may include some evening or weekend hours.

Compensation & Benefits

Compensation: $25.00-$28.00/hr depending on experience
