We are seeking a highly organized and detail-oriented Administrative Assistant to join a dynamic team at Merck. This role will support an Executive Director, four Directors, and team leads with a variety of administrative tasks, travel coordination, and clerical duties for a team of approximately 20 individuals. The position offers the opportunity to work in a fast-paced environment with a focus on travel, expense management, and supporting both hybrid and remote-based workers. This is an exciting opportunity to contribute to a well-established team while providing crucial support in a collaborative setting.

Responsibilities:

Provide full administrative support for an Executive Director and assist with travel and expense support for four Directors and other team leads.

Coordinate and schedule complex, multi-leg, and international travel arrangements.

Process expenses using Merck’s internal systems (COMET/SAP), including catalog and non-catalog shopping and payment requests.

Manage and resolve conflicts on Outlook calendars, schedule meetings, and secure conference rooms and visitor offices.

Assist with onboarding new employees, contractors, and summer interns, including processing new computer and move requests.

Support the use of team sites and provide general administrative assistance across the team.

Assist with purchase order submissions (catalog and non-catalog orders).

Handle complex administrative tasks and clerical duties as required.

Communicate effectively with all team levels and maintain confidentiality when handling sensitive information.

Prioritize workload and manage multiple tasks independently with minimal supervision.

Education:

High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.

Experience:

Proven experience as an administrative assistant or in a similar role.

Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

Experience with Merck internal systems such as COMET/SAP, especially for expenses, catalog, and non-catalog shopping, and payment requests.

Familiarity with MyLearning and team site management is preferred.

Previous experience with complex travel scheduling and expense reporting.

Ability to multitask and manage multiple priorities in a fast-paced environment.

Additional Information:

This is a hybrid role, with a combination of in-office and remote work.

The assignment is expected to be long-term, supporting ongoing operations.
