Violand Management Associates, a management consulting and training firm known for its high standards of integrity and professional excellence, is seeking an Administrative Assistant to join our team. This full-time, in-office position reports to the Director of Administration.

On any given day you might…

  • Manage and maintain client records, ensuring accuracy, completeness, and consistency across systems.
  • Support client onboarding and offboarding processes, including documentation, coordination, and internal communication.
  • Work within our CRM system (HubSpot) to update contacts, companies, and deal information, while supporting data integrity and reporting needs.
  • Assist in maintaining internal systems, including Microsoft 365 (Outlook, Teams, SharePoint), managing user access, permissions, and shared resources.
  • Provide day-to-day support to staff by troubleshooting software, hardware, and general technology issues, and coordinating with external IT partners when needed.
  • Monitor shared inboxes, route requests appropriately, and ensure timely follow-up and resolution.
  • Coordinate internal office operations, including supplies, vendors, printing, shipping, and general administrative needs.
  • Support internal meetings and team initiatives by preparing materials, organizing information, and ensuring details are handled efficiently.
  • Create, update, and format PowerPoint presentations and supporting materials for tradeshows, meetings, and other events.

What we look for in you:

  • Strong working knowledge of Microsoft 365, including Outlook, Teams, SharePoint, Word, Excel, and PowerPoint.
  • Experience working with CRM systems (HubSpot preferred) and managing data with a high level of accuracy.
  • Strong organizational and time management skills, with the ability to manage multiple priorities effectively.
  • Exceptional attention to detail and commitment to quality.
  • Ability to be self-motivated while working effectively within a team environment.
  • Strong problem-solving skills and a willingness to take ownership of tasks and outcomes.
  • A solid foundation in administrative and/or systems support, with five years of relevant experience preferred.
