We are seeking a highly organized and proactive Administrative Assistant to join our team. This fully remote position, based out of Lisboa, Portugal, is exclusively open to citizens of EU countries. Key Responsibilities
Manage scheduling, calendars, and virtual meetings for team members across multiple time zones
Handle email correspondence and maintain clear communication with internal and external stakeholders
Perform data entry, document organization, and updates to internal systems
Assist with travel arrangements, expense tracking, and basic bookkeeping tasks
Support project coordination by preparing reports, presentations, and meeting agendas
Provide general administrative support to ensure seamless remote operations
Requirements
Citizenship of an EU country (required due to company policy and tax compliance)
Proven experience as an Administrative Assistant, Virtual Assistant, or similar role (1-2 years preferred)
Basic knowledge of English (written); proficiency in Portuguese is a plus but not required
Strong proficiency with Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and scheduling tools (e.g., Calendly)
Excellent organizational and time-management skills with the ability to prioritize tasks
Reliable internet connection and a quiet, professional remote work setup
Ability to work independently and maintain confidentiality
Preferred Qualifications
Experience with remote collaboration tools (e.g., Slack, Zoom, Asana, or Trello)
Familiarity with basic HR or payroll processes
Background working with international teams
