The Opportunity

We are seeking a highly organized, proactive, and professional Administrative Assistant with the potential to grow into an Executive Assistant role. This position supports senior leadership through calendar management, travel coordination, meeting preparation, and day-to-day operational support in a fast-paced corporate environment.

The ideal candidate is detail-oriented, resilient, discreet with confidential information, and thrives under pressure while maintaining professionalism.

Key Responsibilities

Executive & Calendar Support

  • Manage complex and frequently changing executive calendars.
  • Coordinate internal and external meetings across multiple time zones.
  • Prepare meeting agendas, briefing materials, and logistics.

Travel Coordination

  • Arrange domestic and international travel including:
  • Flights.
  • Hotels.
  • Ground transportation.
  • Visas & travel documentation.
  • Create detailed travel itineraries.
  • Monitor travel schedules and proactively resolve disruptions.

Administrative & Operational Support

  • Draft, proofread, and edit professional correspondence, reports, and presentations.
  • Maintain organized digital and physical filing systems.
  • Track travel expenses and assist with reimbursements.
  • Support special projects, events, and ad hoc administrative tasks.
  • Assist with scheduling personal errands when needed.

Qualifications

Required

  • 3+ years of Administrative Assistant experience or similar role.
  • Strong Microsoft Office skills:
  • Outlook.
  • Word.
  • Excel.
  • PowerPoint.
  • Experience supporting executive calendars and coordinating travel.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to handle confidential information with discretion and integrity
  • Critical thinker with a proactive mindset.
  • Professional demeanor with resilience in fast-paced environments.

Preferred

  • Experience supporting senior executives or leadership teams.
  • Familiarity with travel booking and expense management systems.
  • Strong problem-solving and prioritization skills.
  • Ability to work independently with minimal supervision.
