We are seeking a highly organized and detail-oriented Administrative Assistant to support daily office operations in our Stamford office. This temp-to-hire role requires a proactive professional who can manage multiple administrative responsibilities in a fast-paced, deadline-driven environment while providing exceptional support to internal teams and external clients. The ideal candidate will possess strong communication skills, advanced Microsoft Office proficiency, and the ability to handle confidential information with professionalism and discretion.
What You Will Do
- Provide comprehensive administrative and office support for day-to-day operations
- Support tax-specific software, tools, applications, and workflow systems
- Prepare, update, finalize, and upload Statements of Work (SOWs), ATS documents, and related files in UserVerse and Agiloft
- Upload and manage tax-related documentation including 8879s, e-filings, and authorizations
- Maintain workflow accuracy by updating DDT, UserVerse workflows, and MyBDO records
- Assist with new client setup, billing authority updates, renewals, and payment verification
- Manage CRM updates, BDO Global Portal activities, and Smartsheet tracking
- Provide back-up front desk support including answering and transferring calls
- Coordinate outgoing shipments via UPS, FedEx, and certified mail
- Monitor conference room schedules and coordinate meeting logistics and catering orders
- Assist with event setup/breakdown, correspondence, and expense reporting
- Handle multiple priorities while maintaining exceptional attention to detail and confidentiality
What You Will Bring
- High School Diploma, GED, or equivalent required; bachelor’s degree preferred
- Minimum 3 years of administrative assistant experience required
- Professional services firm experience preferred
- Advanced proficiency in Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint
- Experience with PeopleSoft Financials and Oracle database preferred
- Excellent written and verbal communication skills with strong grammar and professionalism
- Strong organizational and multitasking abilities in a deadline-driven environment
- Ability to manage confidential information with discretion and sound judgment
- Exceptional customer service, interpersonal, and problem-solving skills
- Team-oriented mindset with the flexibility to support various office functions as needed
- Strong attention to detail and a continuous improvement mentality
📍 Location: Stamford, CT :: In-office Monday–Friday, 8:30 AM – 5:30 PM
💵 Pay: $35/hr. – $37/hr.
