About the Role

Collabera is seeking a highly organized and professional Administrative Assistant to provide executive-level administrative and operational support to senior audit leadership. This role is critical to ensuring the efficient day-to-day functioning of the department by managing schedules, coordinating meetings, facilitating communication, and supporting strategic departmental initiatives.

The ideal candidate will possess exceptional organizational abilities, strong attention to detail, and the confidence to interact with senior executives and stakeholders in a fast-paced corporate environment.

Key Responsibilities

  • Provide comprehensive administrative support to senior leaders and executive management.
  • Manage complex calendars, schedule meetings, and coordinate across multiple stakeholders and time zones.
  • Arrange domestic and international travel, including itinerary planning and logistics coordination.
  • Organize department meetings, leadership sessions, business events, and special projects.
  • Serve as a key liaison between audit leadership and internal and external stakeholders.
  • Prepare meeting minutes, reports, presentations, and executive-level documentation.
  • Coordinate onboarding activities, including system access requests and operational support for employees and contractors.
  • Track action items and ensure timely follow-up on key initiatives.
  • Support process improvement efforts by identifying opportunities to enhance administrative efficiency.
  • Maintain confidentiality while handling sensitive business information and executive communications.

Required Skills and Qualifications

  • Strong attention to detail with the ability to manage multiple priorities simultaneously.
  • Japanese language proficiency is required.
  • Excellent organizational, communication, and interpersonal skills.
  • Strong problem-solving, critical-thinking, and decision-making abilities.
  • Ability to work effectively in a fast-paced executive environment.
  • Experience coordinating with senior leaders, executives, and executive assistants.
  • High level of professionalism, discretion, and confidentiality.
  • Ability to work independently while maintaining accuracy and efficiency.
  • Strong ability to receive feedback and continuously improve performance.

Preferred Qualifications

  • Previous experience supporting senior executives or leadership teams.
  • Experience within audit, finance, risk management, or highly regulated industries.
  • Familiarity with SAP or similar expense management systems.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Experience managing complex scheduling, travel coordination, and executive support functions.

Compensation and Benefits

Pay Range: $20.00 – $35.00 per hour
