Full Job Description
Job Summary:
The Admin Assistant supports the department by providing administrative support, ensuring the accuracy, completeness of departmental data and records. Utilizing investigative, drafting, research, organizational, and analytic skills. Ensure the business compliance requirements are met.
Essential Responsibilities:
Provide administrative support
Perform data analysis, forecasting, and other research activities. Extract, manipulate, and report data from internal and external sources to meet management requests. Prepares reports by collecting, analyzing, and summarizing information
Develop Internal Company Policies, review, and suggest changes to the management
Maintains and ensure the data integrity of Administration department.
Produce and distribute correspondence – letters, memos, forms, reports, and legal documentation
Conduct regular audits to identify potential weaknesses and noncompliance situations with regards to state registrations, other reporting, and licensing requirements.
Coordinate and update the department specific data, coordinate with the field offices.
Assist with Internal Audits, compliance, investigations, and related documentations
Responsible for physical and online record keeping, managing and maintaining the documents in an efficient and easily traceable manner.
Help with the data entry
Maintains legal and regulatory compliance by researching and communicating requirements and obtaining approvals
Assist with facility as needed
Maintaining and updating various live documents (google sheets, Excel sheets, and others) that needs updates on a day to day basis
Assist with insurance related matters and documents
Communicate new policies, procedures, and compliance requirements to the staff and supervisors
Prepare and assist with compliance and other trainings materials
Performing clerical tasks on a daily or as need basis
Any other tasks assigned by the manager
Position Type/Expected Hours of Work:
The employee must be available during the “core” work hours of 09:00 AM to 06:00 PM. Occasional evening and weekend work may be required as job duties demand.
Required Education and Experience:
Bachelor’s Degree
One (01) Year experience

Interpersonal skills
Communication skills
Problem-solving skills
Expert in Excel (queries, pivot tables and vlookups), Access, MS PowerPoint, MS Word, and other MS Suite applications.
Proactive and Positive “can do” attitude.
Impeccable Attention to Detail
Strong Analytical, Investigative and Trouble Shooting Skills

Long hours of sitting are expected.
Travel Requirements:
Required to travel 6-8 times during the year with 24-hour notice.
