The Executive Administrative Assistant serves as a critical partner to multiple executive leaders within a fast-paced Contract Development and Manufacturing Organization (CDMO) environment. This individual will play a key role in ensuring executives operate efficiently by managing complex scheduling, coordinating logistics, and facilitating communication across internal teams and external partners.
This position requires someone who thrives in a dynamic, high-pressure environment where priorities shift frequently. The ideal candidate is highly organized, adaptable, and able to anticipate needs while maintaining a high level of professionalism and discretion.
Key Responsibilities
Calendar Management & Executive Support
- Manage multiple, complex, and frequently changing Outlook calendars for executive leaders
- Proactively prioritize meetings, resolve scheduling conflicts, and optimize executives’ time
- Act as a gatekeeper to ensure alignment with strategic priorities and business objectives
Meeting Coordination & Logistics
- Coordinate internal and external meetings across multiple time zones and organizational levels
- Schedule conference rooms, manage meeting logistics, and support virtual platforms (Teams, Zoom, etc.)
- Prepare and distribute agendas and materials to ensure participants are fully informed
Travel Management
- Coordinate comprehensive domestic and international travel using Concur
- Build detailed itineraries including flights, accommodations, and ground transportation
- Quickly address travel disruptions or last-minute changes with professionalism and efficiency
Expense Reporting
- Prepare, submit, and reconcile expense reports using Concur Expense
- Ensure accurate coding, compliance, and timely submission
- Track approvals and resolve any discrepancies
Minimum Requirements
Experience
- 5+ years of administrative experience, with at least 3+ years supporting executive-level leadership
Technical Skills
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
- Strong experience managing complex Outlook calendars
- Experience with Concur (travel booking and expense reporting)
