Administrative Assistant – Exclusive Homeowners Association
Job Overview We are seeking a detail-oriented and proactive Administrative Assistant to join our exclusive Homeowners Association. The ideal candidate will provide essential support to ensure the smooth operation of our HOA office and community management. This role involves managing various administrative tasks, maintaining organized homeowner files, and facilitating communication between the HOA board, management, and residents. A strong emphasis on organizational skills, discretion, and attention to detail is crucial for success in this position.
Duties
Manage daily HOA office operations, including scheduling appointments and coordinating board meetings
Assist with calls from homeowners regarding violations, account balances, and community inquiries
Maintain organized filing systems for homeowner records, both physical and electronic
Coordinate room and facility rentals for community events and private functions
Prepare documentation and materials for regular board meetings
Manage the Architectural Review Committee (ARC) process, tracking applications and correspondence
Oversee violation processes, including documentation, notifications, and follow-up
Answer phone calls with professionalism, demonstrating excellent customer service to homeowners
Assist in preparing HOA reports and documents, ensuring accuracy through proofreading
Provide clerical support such as data entry, document preparation, and correspondence management
Handle confidential homeowner information with the utmost discretion
Skills
Bilingual proficiency is a plus, enhancing communication with diverse homeowners and stakeholders
Strong organizational skills with the ability to manage multiple community tasks effectively
Proficient in administrative tasks including clerical work and homeowner file management
Excellent phone etiquette for professional communication with residents and board members
Attention to detail for accurate processing of ARC applications, violation notices, and community documents
Previous experience in property management, HOA administration, or similar administrative role is advantageous but not required
