Administrative Assistant (Clinic Operations) – Speech Specialists
Speech Specialists is a multidisciplinary team of Speech‑Language Pathologists, Speech‑Language Associates, Behavioural Therapists, and Occupational Therapists providing private in‑home and clinic‑based services across Southern Ontario.

Position Summary
We are seeking a highly organized and detail‑oriented Administrative Assistant (Clinic Operations) to support the daily administrative functions of our organization. This role is integral to maintaining efficient clinic workflows, supporting clinicians, and ensuring a seamless client experience.
The successful candidate will thrive in a fast‑paced healthcare environment and demonstrate professionalism, discretion, and strong operational coordination skills.
Key Responsibilities
- Manage and triage incoming communications including voicemail, emails, and general inquiries
- Coordinate client scheduling including booking, rescheduling, cancellations, and confirmations using scheduling software
- Maintain and update referral tracking systems and generate operational reports as required
- Execute billing functions including invoicing, payment processing, receipts, and account statements using Stripe
- Support administrative workflow across multiple clinics and practitioners
- Ensure accuracy and consistency in client records and documentation
- Assist in general clinic operations and administrative coordination tasks as required
Qualifications & Skills
- Fluent in English (spoken and written)
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent organizational, communication, and time‑management skills
- High attention to detail with the ability to manage multiple priorities
- Previous experience in an administrative or healthcare office setting is an asset
- Knowledge of SEO and social media marketing is considered an asset
- Ability to work independently as well as collaboratively within a team environment
