Company Description: 4J Therapeutics is a Palo Alto–based biopharmaceutical company developing a programmable antiviral platform for serious viral threats. Our approach uses locked nucleic acid antisense oligonucleotides designed to target conserved viral RNA structures, with the goal of enabling antiviral products for treatment, prophylaxis, and pandemic preparedness.

Job Description: We are seeking an Administrative Assistant to support day-to-day operations, scheduling, communications, document management, vendor coordination, and general administrative needs for a growing biotech startup.

This is a hands-on role for someone who is organized, responsive, detail-oriented, and comfortable working in a fast-moving environment. The person in this role will support senior leadership and cross-functional team members, helping ensure that meetings, documents, logistics, and operational tasks are handled efficiently and reliably.

Responsibilities

  • Coordinate calendars, meetings, scheduling, and follow-ups for senior leadership and team members
  • Help prepare, organize, and maintain documents, spreadsheets, slide decks, reports, and internal trackers
  • Support administrative coordination across internal teams, consultants, CROs, CDMOs, vendors, and external partners
  • Assist with meeting agendas, notes, action items, and follow-up tracking
  • Support travel planning, expense reporting, purchasing, invoices, and vendor documentation
  • Help maintain organized electronic files, records, contracts, and operational documents
  • Assist with logistics for team meetings, program reviews, external meetings, and company events
  • Support general company operations and help build scalable administrative systems as the company grows

Qualifications

  • 2–5+ years of administrative, operations, executive assistant, project coordination, or related experience
  • Strong organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Comfort working with Google Workspace, Microsoft Office, Excel, PowerPoint, or similar tools
  • Ability to manage multiple priorities, track follow-ups, and work independently
  • Ability to work effectively in a hybrid or remote environment while coordinating closely with a small, fast-moving team

Preferred

  • Experience in biotech, pharma, life sciences, healthcare, government contracting, or a related field
  • Experience supporting executives, scientific teams, operations teams, or project managers
  • Experience coordinating vendors, consultants, contracts, invoices, or purchase orders
  • Familiarity with Smartsheet, Microsoft Project, DocuSign, QuickBooks, Ramp, or similar administrative and operations tools
  • Startup experience

Compensation and Benefits:

The expected salary range is $60,000–$70,000, with compensation dependent on experience. Benefits include health insurance, dental insurance, 401(k), paid time off, with potential for equity participation.
