Job Description
Our client, a well-regarded international law firm, is looking for an Administrative Assistant to join their team.
Administrative Assistant
Key Responsibilities And Qualifications
Provide day-to-day support to Partners, Counsel, and Associates.
Maintain calendars, schedule meetings, and coordinate conference calls (video/audio).
Answer phones, relay messages, and manage contact databases.
Coordinate domestic and international travel through the in-house travel department.
Prepare and submit accurate expense reports in a timely manner.
Draft, edit, format, and proofread legal documents, correspondence, and forms.
Ensure accuracy and compliance with firm standards and deadlines.
Prepare court filings and practice-specific documents, including audit responses and pleadings.
Organize, maintain, and archive administrative and client files.
Work closely with the Records Department to safeguard confidential information.
Record and review attorney time entries using the firm’s web-based system.
Manage monthly billing cycles, edit proformas, and respond to billing inquiries.
Process third-party vendor invoices and ensure alignment with client billing.
Generate conflict checks, open new matters, and prepare engagement letters.
Respond to client and internal requests in a timely, professional, and courteous manner.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong typing skills (minimum 60 wpm) with excellent grammar, spelling, and punctuation.
Highly organized with strong attention to detail and the ability to manage multiple tasks and deadlines.
Professional Experience And Education
Minimum 5 years of administrative experience, preferably in a law firm or professional services environment.
Familiarity with legal terminology, procedures, and court filings preferred.
College degree preferred.
