Role Description The Administrative Assistant is a full or part-time hybrid role based in Chicago, IL. This position supports executives and team members by managing calendars, scheduling meetings, coordinating travel, and preparing documents and presentations. The role includes answering and directing phone calls, greeting visitors, maintaining files and records, and handling general clerical tasks such as data entry, copying, and scanning. The Administrative Assistant will help organize internal and client-facing meetings, track follow-up actions, and assist with correspondence and reports. This role also contributes to smooth office operations by managing supplies, liaising with vendors, and supporting special projects as needed.

Qualifications

  • Candidates should possess strong Administrative Assistance and Clerical Skills, including calendar management, document preparation, and record keeping.
  • Candidates should possess Executive Administrative Assistance capabilities, such as supporting senior leaders, handling confidential information, and prioritizing competing tasks.
  • Candidates should possess excellent Communication and Phone Etiquette skills for interacting with clients, candidates, and colleagues in a professional manner.
  • Proficiency in standard office software (e.g., Microsoft Office) and basic data entry skills are beneficial.
  • Strong organizational skills, attention to detail, and the ability to manage multiple deadlines are required.
  • Previous experience in administrative or office support roles is preferred; experience in professional services or health care environments is a plus.
