This role blends executive-level administrative support with coordination, providing operational, communication, data, and project management support across leadership, internal teams, and all-agency initiatives.
Key Responsibilities
- Organize, update data, and maintain data, information, and resources across multiple systems and platforms
- Perform additional data entry as necessary
- Update existing templates for weekly, monthly, and quarterly celebrations, communications, and agency updates
- Create new templates when and where necessary to streamline processes
- Draft communications and compose first drafts of all-agency emails as needed
- Send and respond to monthly and quarterly emails related to ongoing social and engagement activities
- Send and update all-agency meeting holds on calendars as necessary
- Draft and send agendas for weekly all-agency meetings
- Provide project-management-style support for internal all-agency meeting presentations
- Work with Business Support Coordinators regarding all-agency events
- Provide ideas and recommendations to improve efficiency and streamline processes
- Provide general team support and additional support as needed
- Connect with other support staff to ensure executive calendars are planned, aligned, and free of conflicts
- Ensure executives have sufficient time to complete meeting preparation and assist with material development as needed
- Set up conference calls and video conferences, reserve conference rooms
- Work closely with executives to ensure pressing tasks are handled in a timely manner and assist where possible
- Follow up regularly with executives to review to-do lists and incorporate new priorities
Who you are
- Bachelor’s degree or equivalent experience required
- Minimum of 1-2 years of administrative experience supporting mid- to senior-level management
- Excellent verbal and written interpersonal communication skills, with the ability to work effectively with employees and external clients at all levels
- Strong multitasking abilities while maintaining a high level of organization and attention to detail
- Excellent follow-up and follow-through skills
- Ability to handle sensitive and confidential information with a high degree of discretion
- Advanced proficiency in Microsoft Office Suite
- Working knowledge of video conferencing platforms such as Zoom, WebEx, Microsoft Teams, and similar tools is mandatory
