We are looking for an Administrative professional who is self motivated, able to work without constant supervision, has an outgoing personality and passion for customer service to join our vibrant growing team. You will be the ambassador of our company’s first impressions on the guests and visitors. It is your foremost responsibility to compassionately greet all incoming guests, help them with directions or needs they may require. This role requires always maintaining a positive attitude and requires you to do your part to always make clients feel welcome at our shop.

Essential functions of the position:
Customer Care:
– Answering a 10 line phone system and assisting clients who visit our shop. Being courteous and professional when greeting clients, vendors and staff. Recognize that every phone call or visitor is a potential customer. Pride in a professional appearance is required.

Invoicing and client order fulfillment:
– Every order that is completed, requires invoicing using Quickbooks. You will be tasked with accurate invoicing and informing clients when their order is ready to pick up.
– Collect payment from clients as required
– Some orders may require delivery in or out of town. You will be required to use various shipping methods to ensure clients receive their orders by pre assigned due dates
– This position does require handling of boxes up to 30lbs as well as frequent trips to the warehouse floor

Bill entry and Payroll:
Enter vendor bills against POs in Quickbooks checking for accuracy
Pay vendors based on schedule outline by Accounting manager
Assist in payroll tasks as assigned by Accounting Manager

Administrative responsibilities:
– Light admin duties such as filing, making coffee, keeping front office clean and organized and keeping customer and staff refreshment supply filled
– Organizing and booking Company Events
– Coordinating office care items such as arranging and monitoring office cleaners and maintenance personnel
– Keeping office supply cabinets stocked with healthy inventory

Qualifications:
– 3 years of Office Administrative experience
– Microsoft Office Experience
– Ability to multi task
– Quickbooks Experience is required.
– Shipping or courier dispatch experience is not required but will be heavily favored
– Must be able to lift up to 30lbs and be comfortable in a warehouse environment

Schedule
– Office hours are 8:30am – 5:00pm, Monday through Friday
– Overtime may be needed during peak season
Compensation:
– Starting wage between $18-$21 per hour
– $500 retention bonus at 3 months of employment
– Benefits enrollment at 3 months of employment
