We are looking for anAdministrative Assistantto join the President’s Office. This an in-person role working out of our VersaBank Innovation Centre of Excellence (VICE) office in London, Ontario.

As an Administrative Assistant, you will provide administrative support to ensure smooth functioning of the President’s Office. You will be responsible for managing schedules, scheduling meetings, coordinating travel and accommodations, processing expense claims, and performing a variety of general administrative tasks to support the daily operations of the President’s Office.

Primary Responsibilities include:

Manage and maintain calendars, including scheduling meetings and appointments.

Coordinate travel arrangements, including booking flights, hotels, and transportation.

Maintain and update contact profiles, ensuring information is current and accurate.

Prepare and process expense claims promptly and accurately.

Handle courier services and ensure timely delivery of correspondence and packages.

Assist with organizing and setting up meetings, including preparing agendas and materials.

Support event planning and coordination for the President’s Office.

Manage company’s use of entertainment suite, including informing staff of events, ordering tickets and arranging attendance as required.

Perform general administrative duties such as preparing documents, filing, maintaining records, recording, distributing and storing meeting minutes.

Respond to inquiries and correspondence professionally and in a timely manner.

Handle confidential information with discretion and professionalism.

Other administrative tasks as assigned.

Qualifications:

Completion of a two-year executive assistant program or equivalent.

Demonstrated experience in an administrative or assistant role.

Excellent organizational and time management skills.

Excellent interpersonal and communication skills.

Superior proficiency with Microsoft Outlook, Word, Excel, PowerPoint.

Ability to handle sensitive information with discretion and maintain confidentiality while exercising diplomacy in all interactions.

Self-starter with a positive attitude.

Ability to succeed in a fast-paced environment.

Strong attention to detail and a proactive approach to problem-solving.
