The Administrative Assistant is responsible for providing administrative services to the Audit Committee and Internal Audit teams to increase efficiencies and promote the timely completion of departmental responsibilities. Position will also assist in administering Training and Policies and Procedures documentation for Enterprise Financials Systems for Clayton Homes.
Administrative Assistant Job Functions
Develop thorough understanding of the requirements of the Global Internal Audit Standards and self-identified gap assessment. With assistance of Management, create detailed implementation plans, assigning tasks to Team members, and overseeing the overall project execution to ensure full adoption of the Global Audit Standards by June 30, 2025.
Creation of new process documents, templates and updates to policies and procedures related to the Audit Committee, VP of Internal Audit and Senior Management’s responsibilities under the Global Internal Audit Standard
Stakeholder management: Communicating regularly with the Audit Committee, VP of Internal Audit, and Internal Audit Management team to manage expectations and address concerns.
Progress Monitoring: Tracking project milestones, identifying potential risks to the project plan and taking corrective action as needed.
Create and Maintain meeting minutes needed to evidence performance of essential functions listed in Global Internal Audit Standards.
Create and maintain a master schedule of standards-related responsibilities. Coordinate timing for completion and review activities across the enterprise to ensure timely completion.
Attend Audit Committee meetings, taking minutes as needed to evidence conformity to the Global Audit Standards.
Perform editorial review of various work products for proper grammar, tone and audience.
Coordinate the creation, distribution and analysis of various department and business partner surveys, following up as necessary to ensure timely completion and analysis of results to identify trends and potential quality concerns.
Assist in updating and communicating ERP Policies and procedures.
Assist in developing communication and training guides of ERP and other enterprise financial systems (Oracle, Kyriba, Mortgage Cadence, etc.)
