Role Description This is a full-time, on-site Administrative Assistant role based in Eugene, OR. The Administrative Assistant will provide daily administrative and clerical support to partners and staff, including managing phone calls and greeting visitors. The role includes preparing and formatting documents, scanning and filing client records (both paper and electronic), and assisting with mailings and secure document transmission. The Administrative Assistant will help organize client files, support tax season workflows (such as assembling returns and tracking documents), and ensure the reception area and office supplies are well maintained. This position will also coordinate with team members in both office locations, follow established procedures for sensitive financial information, and contribute to a professional and welcoming client experience.

Qualifications

  • Strong Administrative Assistance and Clerical Skills, including scheduling, filing, document preparation, and data entry.
  • Professional Phone Etiquette and Communication skills, with the ability to interact courteously and clearly with clients and colleagues.
  • Experience providing Executive Administrative Assistance or support to multiple team members, managing priorities and deadlines.
  • Proficiency with standard office software (e.g., Microsoft Office or similar) and comfort learning firm-specific systems and portals.
  • High attention to detail, accuracy, and confidentiality when working with financial and tax-related information.
  • Ability to work on-site full time in Eugene, OR, with reliable attendance and a collaborative, team-oriented mindset.
  • Prior experience in a professional services, accounting, or financial office environment is preferred but not required.
  • High school diploma or equivalent required; additional coursework or training in office administration or related fields is a plus.
