Role Description This is a full-time remote role for an Administrative Assistant supporting KTH Royal Institute of Technology. The Administrative Assistant will manage day-to-day administrative tasks, including scheduling meetings, maintaining calendars, arranging virtual appointments, and coordinating communication between internal and external stakeholders. Responsibilities include handling incoming calls and emails, preparing and formatting documents, organizing digital files, and supporting executive leaders with clerical and coordination tasks. The role also involves assisting with data entry, basic reporting, and ensuring accurate documentation for projects and initiatives. The Administrative Assistant will collaborate with colleagues across departments, uphold confidentiality, and contribute to efficient remote workflows and professional service delivery.
Qualifications

  • Strong Administrative Assistance and Clerical Skills, including scheduling, document preparation, and digital file management.
  • Experience in Executive Administrative Assistance, supporting leaders with calendar management, meeting coordination, and follow-up actions.
  • Professional Communication skills, both written and verbal, with ability to interact with diverse stakeholders in an international environment.
  • Excellent Phone Etiquette and email handling, ensuring courteous, clear, and timely responses.
  • Proficiency with office software (e.g., word processing, spreadsheets, presentation tools) and online collaboration platforms.
  • Strong organizational skills, attention to detail, and ability to prioritize tasks in a remote, fast-paced setting.
  • Ability to work independently, maintain confidentiality, and demonstrate reliability and initiative.
  • Relevant education or training in administration, office management, or a related field; experience in academic or research environments is an asset.
