Position Overview: We are seeking a highly organized and proactive Administrative Coordinator to support the CEO, while also supporting On The Table’s community engagement and other company initiatives in close collaboration with the Director of Marketing & Communications. In a position working tightly with top leadership, confidentiality is crucial when handling sensitive information and documents.

Key Responsibilities

Administrative Duties

  • General Administrative & Office Management Tasks — provide administrative support as needed, such as drafting correspondence, proofreading documents, answering phones, and performing other tasks to ensure the efficient operation of the office.
  • Meeting Coordination — coordinate and schedule internal and external meetings, including logistics, agenda preparation, and distribution of materials when needed.
  • Calendar Management — efficiently manages corporate-level scheduling in coordination with the CEO & Senior Leadership, ensuring all appointments, meetings, and events are well-organized, and prioritizing tasks accordingly.
  • Communication — act as a primary point of contact of communication with corporate-level team members regarding administrative updates, events, etc.
  • Support Projects — assist in various projects and initiatives, including, but not limited to, research, presentation, and on-site support to the leadership team, supporting in whatever it takes to get a project done.

Community Engagement Coordination

  • Serve as the liaison between Director of Marketing & Communications and community partners, non-profits, and sponsorship contacts, coordinating outreach, agreements, and ongoing communication.
  • Manage the Beer Barrel Dine & Donate program end-to-end: scheduling participating organizations, coordinating with restaurant locations, tracking proceeds, and ensuring timely follow-through and reporting.
  • Maintain financial tracking of community partnerships.
  • Source, book, and coordinate entertainment & events including contracts, scheduling, and logistics.
  • Serve as the point of contact for performers and vendors from initial outreach through day-of coordination.
  • Maintain a master calendar of bookings and event details and communicate schedules to relevant internal teams.
  • Track entertainment/event budgets and reconcile related expenses.

Qualifications

  • Bachelor’s degree preferred but not required.
  • Prior experience in an administrative, coordinator, or executive support role, preferably supporting business owners, executives, or leadership teams.
  • Prior experience in restaurant, hospitality, non-profit partnerships, or event/talent booking is a plus.
  • Exceptional organizational skills and attention to detail; comfortable managing multiple priorities across leadership and cross-functional programs.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and calendar management tools.
  • Ability to maintain confidentiality and exercise discretion.
  • Strong problem-solving ability and comfort working independently.
  • A high degree of flexibility.

Payment

  • Payment ranges from $52,000 – $60,000, commensurate with experience.

Work Environment

This is a 100% in-person, full-time, salaried position based in downtown Columbus, OH, reporting to the CEO, with close collaboration with the Director of Marketing & Communications. Travel and weekend work may be required on as-needed basis, depending on project or event.
