Assignment Type: 6-Month Contract (High potential for extension or conversion)

Pay Rate: $30.00 per hour

Role Overview

We are seeking a high-performing, detail-oriented administrative professional to support a team of executives within a fast-paced, transformation-focused environment. In this role, you will act as a key partner to leadership, optimizing their daily operations and ensuring seamless coordination across the division.

As the primary point of contact for the team, you will manage complex schedules, facilitate high-level meetings, and drive administrative efficiency.

Key Responsibilities

  • Executive Support: Represent leadership and the division to internal and external stakeholders through professional in-person, virtual, and written communication.
  • Calendar Management: Proactively manage and de-conflict complex daily schedules, requiring strong relationship management and collaboration with other administrative partners.
  • Travel & Expenses: Coordinate end-to-end travel arrangements (flights, trains, hotels) and manage the full expense reporting process.
  • Event Coordination: Plan and execute weekly staff meetings, quarterly offsites, and large-scale town halls. This includes managing logistics, digital support (videoconferencing), and material preparation.
  • Operations & Logistics: Facilitate onboarding for new crew members and contractors, manage space planning, and maintain office supply inventory.
  • Special Projects: Participate in departmental initiatives and monitor expenditures as required.

Qualifications

  • Experience: 3–5 years of administrative or corporate business experience, preferably supporting executive-level leadership.
  • Education: High school diploma required; Associate degree preferred.
  • Technical Skills: Advanced proficiency in Microsoft Office 365 (Outlook, Teams, Excel, PowerPoint) and experience with planning or forecasting tools.
  • Communication: Exceptional interpersonal skills and high Emotional Intelligence (EQ), with the ability to engage effectively with Senior Staff and external vendors.
  • Mindset: A self-starter who thrives in environments characterized by change and ambiguity. You should possess a "team-first" attitude and the ability to meet tight deadlines with ease.
