Your opportunity
The Administrative Assistant is responsible for providing administrative support to a designated group of partners and managers.
Your major responsibilities
Prepare and format correspondence, reports, and presentations in accordance with marketing standards.
Assist in formatting financial statements and other documents using Caseview/Caseware.
Complete conflict check process from start to finish, including tracking.
Manage work in process for billing partners and managers.
Handle calendar management, including scheduling meetings, catering, and both onsite and offsite meetings.
Plan and coordinate meetings for internal and external clients.
Ensure file integrity, management, and backup of digital and physical copies.
Prepare T2 assemblies and assist with T1 assemblies during tax season.
E-file T2, T1, and trust returns.
Manage billing, client invoices, and internal expenses for the advisory function.
Provide general office support and shared reception duties as needed.
What we look for
3-5 years of experience as an administrative assistant in an accounting services firm.
Experience with e-filing and T1/T2 assemblies.
Experience supporting senior leadership in an administrative capacity.
Proficiency with Caseware/Caseview is required.
Experience with Tax Prep is an asset.
Expertise in Microsoft Office Suite, including Excel (pivot tables, VLOOKUPs, conditional formatting) and Word (design, reference, layout).
Working knowledge of Adobe Acrobat.
Experience editing reports, proposals, and communications, with keen attention to detail.
Experience supporting a team of five within legal or accounting professions is preferred.
Strong communication skills with professionals at all levels, including legal professionals.
