Overview

Summary/Objective:

The part time Physical Therapy Provider Network (PTPN) Administrative Assistant is mainly responsible for providing support to theQuality AssuranceCompliance Manager, CEO, and Network Provider Specialists. May provide additional support to Executive Directors, sales team, credentialing department, and Comp Direct Program.

Schedule:

Part-time position up to 20 hours/week, day shift, hybrid position (2-3 days in office)

Pay – $19/hr-$21/hr

Responsibilities

Essential Functions:

Will often serve as first point of contact and be required to answer and direct phone calls appropriately, take detailed messages, send and receive faxes, and emails.

Handle clerical tasks, data entry, copying, scanning, emailing.

Maintains contact lists (such as Outlook, Voter Voice, Oneview, Salesforce), electronic files including additions, removals, and changes.

Create, distribute, send, and track correspondence.

Order office supplies, distribute mail, bank deposits, accounts receivable and payable.

Mails membership materials to potential members and upon renewal. Takes large mailings to the copier and mail house.

Handles administrative requests and queries from senior managers.

Sends out requests and responses to members regarding PTPN’s documentation review program including Certified letters.

Troubleshoots documentation uploading issues, assists members withproblem solving, and technical issues.

Communicates any issues regarding member correspondence with the CEO orQuality AssuranceCompliance Manager.

Assists with compiling agendas for meetings, takes meeting minutes, finalizes minutes and prepares reports for management.

Completes data entry and tracking/monitoring of results for the PTPN’s documentation review program.

Communicates with members regarding credentialing process, chart review program, outstanding dues, license expirations, and other follow-up items as assigned.

Updates manuals such asQuality Assurance, Credentialing and Provider Services.

Process member terminations, changes, and additions.

Checks provider directories for membership.

Credentialing tasks such as outside verifications (NPDB, licensing boards, NPI Registry, disciplinary actions, Medi-Cal suspended and ineligible, OIG, SAM, CMS Opt-Outs), report generation, ensuring logs are updated monthly, file maintenance, etc.

Run the Members without Medicare Number report and email to Network Provider Services and CEO.

Conduct ongoing monthly monitoring of state therapy license holders, relaying any cautionary findings to appropriate NPS and CEO.

Electronically upload and file all PTPN documents into appropriate area (including but not limited to One View, PTPN cloud storage, SharePoint, Salesforce).

May also support Comp Direct Program with patient eligibility, authorization, verification, and appointment setting.

Responsibility for PTPN storage area and supplies including ordering and keeping printed materials stocked, ordering other office supplies, making member and marketing kits, maintenance of files on premises (if any), and maintains general order in office space.

Meeting reservations (in-house and outside), food ordering, set-up, and clean-up.

RSVPs for Teams meetings.

Other duties as assigned.
