Location: Manhattan (Midtown) – ONSITE!

Job Purpose

The Administrative Assistant is responsible for supporting the COO to help them stay organized and to complete tasks that allow the COO to focus on more strategic responsibilities. The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.

Job Responsibilities

Embody the core mission, vision, and values

Treat all guests with respect and dignity

Help guests who enter the church/soup kitchen to locate the services they need within the building

Office Operations

Maintain extensive filing system as assigned, including completion of scanning project for uploading organization’s files

Arrange meetings for COO, as requested

Monitor correspondence between IT (Vertilocity) and employees to ensure proper billing and invoicing of time and materials

Upon request, prepare and/or modify meeting agendas and gather notes for various meetings

Follow up on decisions and to-do items discussed in meetings to ensure completion of tasks

Backup for the Church Administrator

Bookkeeping

Data entry for account payables

Weekly Banking Deposits

Personnel

Maintain personnel records

Oversee vacation request process, monitor on ESS

Manage master calendar

Create a better process for requesting time off

Update COO weekly on status of requests

Liaison with medical and dental insurance representatives

Manage the onboarding paperwork for new employees

Enroll staff in benefit programs
