Role Description
The Administrative Assistant position is a full-time, on-site role based in Coral Gables, FL. This position will support the day-to-day operations by providing high-level administrative support to senior leaders, including managing calendars, scheduling meetings and appointments, coordinating travel and logistics, and preparing correspondence and reports. Daily responsibilities include handling phone calls and emails, maintaining records and files, assisting with presentation materials, and coordinating internal and external meetings. The Administrative Assistant will also support office operations by managing clerical tasks, tracking deadlines, and ensuring timely follow-up on action items. This role requires consistent professionalism, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Qualifications
- Strong Administrative Assistance and Clerical skills to manage calendars, meetings, travel itinerary coordination, and document preparation, and maintain efficiency.
- Demonstrated Phone Etiquette and Communication skills, with the ability to interact professionally with internal and external stakeholders.
- Excellent written and verbal communication skills; exceptional writing and editing abilities are highly preferred.
- Solid Clerical Skills, including data entry, record keeping, filing, and basic document formatting.
- Proficiency with office productivity software (e.g., Microsoft Office Suite and scheduling tools) and comfort learning new systems.
- Excellent organizational skills, attention to detail, and ability to manage and prioritize multiple tasks, manage competing deadlines, and maintain attention to detail in a fast-paced environment.
- Strong critical thinking and analytical skills, with the ability to evaluate information, solve problems, and make sound decisions.
- Self-motivated and capable of working independently while exercising sound judgment and taking initiative with minimal supervision.
- Discretion in handling confidential information and a high level of professionalism.
- Prior experience in a related support role is a must for this position.
- Bachelor’s degree in related field is a plus.
