Daily Schedule – 7:00/8:00 – 3:30/4:00 (can be flexible with start / end times). No OT is expected.

Estimated Duration – 6 months

Pay Range: $17-18.50/hr

Job Description

The main function of an administrative assistant/executive assistant is to provide high-level administrative support by conducting research, handling information requests and performing clerical functions.

A typical administrative assistant acts as information and communication managers for an office.

Job Responsibilities:

• Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.

• Prepare travel plans, expense reports, memos, letters, and other documents.

• File and retrieve corporate documents, records, and reports.

• Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.

• Prepare invitations / agendas / arrangements for leaders, team members and other misc meetings.

Skills:

• Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.

>Strong skills with MS Office Suite, specifically Outlook, Excel, WORD, and PowerPoint

• Ability to work independently and manage one’s time.

• Ability to keep information organized and confidential.

• Basic mentoring skills necessary to provide support and constructive performance feedback.

Education/Experience:

• High school diploma or GED required.

• 5-7 years experience required.

• Experience working with executives highly preferred.

Position’s Contributions to Work Group:

– Organize leader calendars and work flows

– Maintain prioritization of time management and key assignments

– Support team projects and continuous improvement activities

– Orchestrate key individual and group travel plans

Reason/motivation for request:

– Addition to support growth in Diesel Power Demand and consolidation of commercial teams.

– Cross-training with Tammy and Marissa to support broadening LEPS leadership team in Dallas.

Typical task breakdown:

– Supporting multiple leaders to manage travel, expenses and calendars

Interaction with team:

– Help support other administrative assistants as needing Team Structure

– Supporting multiple leaders

Education & Experience Required:

– Years of experience:5-7 years

– Degree requirement: HS Degree required, College degree or equivalent experience a plus

– Open to Masters but most likely over qualified

– Open to 2 year degree with 3+ years experience
