Job Description:

The Administrative Assistant plays an important role in helping the Chelmsford client’s facility and Sensing, Safety & Connectivity Business, run smoothly and effectively. We are looking for someone who can handle competing priorities, works well with others at all levels, and brings energy and passion to work every day.

Responsibilities & Essential Functions:

Provide administrative support to the site’s Director to proactively enhance effectiveness, including professionally dealing with customers & suppliers, composing correspondence, scheduling meetings, maintaining files, and handling confidential information with discretion:

Strong communication abilities; appropriate interpersonal skills required to interact with Management.

Arrange travel, domestic and international, and be on call to change reservations on short notice. Ensure passports, visas, etc., are up to date and correct.

Actively participate in the schedule and agenda of the Director as full calendar delegate; facilitate project timelines,and support the efficiency of the Director.

Provide operational marketing support, including creating templates and agendas, organizing PowerPoint slides, organizing meeting speakers and ensuring their availability, and maintaining org charts

Provide administrative assistance to the site’s managers and staff:

Support interviews for external candidates (reserving room, coordinating schedules of the interview panel, escorting candidates)

Coordinate site visitors with reception (including guest wifi, room reservations, refreshments, escorting visitors from one room to another)

Arrange meetings, local and off-site, ensuring that all audio-visual equipment and network connection requirements are met. Als,o arrange for refreshments and food as required.

Provide prompt, customer-oriented service to all callers and visitors.

Campus culture support & coordination of internal department activities (site team-building activities, product launch celebrations, VIP visits)

Requirements:

Strong Microsoft Office Suite skill set

Support the onboarding process of new hires.

Results-oriented; holds self and others accountable for keeping commitments, maintaining standards, and achieving goals

Resilient, positive disposition, with the ability to establish and maintain effective work relationships.

Strong time management, prioritization, and project management skills

Strong attention to detail

Acts with a high sense of urgency

Is open to learning and taking on new tasks to fulfill position responsibilities

High School Diploma or GED

Legal authorization to work in the US is required. We will not sponsor individuals for employment visas, now or in the future, for this job opening.

Preferred:

Bachelor’s or Associate’s degree

Typically requires a minimum of 1+ years of related experience

5+ years of experience in Administratively supporting leadership teams is preferred

5+ years of experience using Microsoft Office Suite (Excel, PowerPoint, Word, Teams, etc.) is preferred
