About the Role:

We are seeking a highly organized, motivated Administrative Assistant to join our growing business brokerage team in Greenwich, CT. This is an exciting opportunity to support the Lead Business Broker and play a vital role in managing a dynamic deal pipeline of small and mid-sized business transactions.

You’ll work directly with an exceptional range of business owners and entrepreneurs across industries, helping them navigate one of the most pivotal transitions of their careers: the sale of their company. Key Responsibilities:

Support the Lead Broker with day-to-day operational tasks

Maintain accurate records of buyer inquiries, seller communications, and lead follow-up

Track status of listings and coordinate next steps in the transaction process

Prepare and update business summaries, NDAs, and confidential information memos (CIMs)

Manage and organize the firm’s CRM and document storage systems

Schedule meetings and facilitate Zoom calls between buyers, sellers, and team members

Ensure all client touchpoints are professional, timely, and well-documented

Serve as a point of contact for business owners, potential buyers, and advisors

Qualifications:

2+ years of administrative, executive assistant, or operations experience (brokerage, real estate, or finance a plus)

Strong organizational and multitasking skills; able to manage a high volume of detail without losing the big picture

Proficient in Google Workspace, Microsoft Office, and CRM systems (e.g., HubSpot, Zoho, or similar)

Excellent written and verbal communication skills

Discretion and professionalism in handling confidential business information

A proactive, can-do attitude with a strong sense of ownership
