Administrative Assistant
Location: Cleveland, OH
PSS Innovations designs, manufactures, markets, and sells safety devices for roadway and pedestrian work zone applications. The company is seeking a professional, service-oriented Administrative Assistant to serve as the first point of contact for callers and visitors. This position reports to the Sales Operations Manager while also providing administrative support across multiple departments, including accounting and HR. This role also involves coordinating with vendors and managing office services.
Key Responsibilities:
General knowledge: Has a thorough understanding of our company’s organization, policies, procedures, ERP system, office supplies, products and services to be able to respond to the needs and requests of internal and external contacts.
Front-line of PSS: Greets callers & visitors in a prompt & courteous manner, identifies the individual’s needs, and directs them to the appropriate company contact. Performs activities to open & close the office in the morning and evening, respectively.
Visitors: Facilitates guest visits in accordance with company security procedures.
Office equipment: Performs the necessary activities to purchase/lease new office machines/equipment.
Utilities & building services: Sets up and, when necessary, facilitates resolution to disruptions in service for phone/cellular service, utilities, and building security. Programs voice messages on the phone system for all occasions and updates phone templates.
New hires: Coordinates supplies & setup for new hires (e.g., IT services & hardware, business cards, office space).
Mail & Shipments: Opens, sorts, and distributes incoming mail and processes outgoing mail. Schedules shipments, processes sample paperwork, bills of lading, certain purchase orders, weekly mailings, and Holiday greeting cards.
Customer Service: Processes quotes, orders & customer requests.
Clerical duties: Performs clerical duties as assigned such as typing correspondence and shipping documents, filing, copying, scanning, and faxing. Assist with non-inventory payable entry. Process customer credit applications. Etc.
Records & Organization: Maintains timely and accurate records and reports, as required.
E*_nabler_*: Assists with projects/tasks as requested by various department representatives.
Communication: Keeps the supervisor aware of issues needing the supervisor’s involvement
Professionalism: Maintains a professional appearance and a neat and orderly work area.
Qualifications:
Dependable with strong administrative experience and attention to detail.
Proficient in Microsoft Office and company-specific systems.
Strong judgment, reasoning skills, and ability to multitask professionally.
Basic knowledge of company policies, procedures, and products.
A high school diploma is required; some college education is preferred.
Minimum of three years of related experience or equivalent education/experience.
Effective time management and the ability to balance multiple tasks.

Job Type: Full-time
Pay: $19.00 – $23.00 per hour
Expected hours: 40 per week
