Our client within wealth management requires an Administrative Assistant to join their team.
Responsibilities:
- Providing high level, organized and efficient administrative support including: logistics related to calendar/meetings/events, arranging travel, reservations, expenses, and other related duties, managing invoice payment/expenses.
- Assisting in preparing Advisors for client meetings, including the preparation of account-opening documentation.
- Processing a variety of transactions (ex: issuing cheques, deposits, contributions and withdrawals, incoming and outgoing transfers).
- Committing to rigorous follow-ups relating to all client transactions to ensure proper processing and minimization of errors.
- Having a strong understanding of the firm’s procedures and policies.
- Maintaining client files, ensuring that all documentation and notes are compliant with industry regulations.
- Performing general administrative tasks (ex: preparing letters, client communication pieces, etc.)
- Performing other duties as assigned.
Role requirements:
- High School Diploma required; Associate or Bachelor’s degree (in Business, Finance, Economics, or a related field) preferred, or equivalent practical experience.
- 0–2 years of experience in an administrative support, customer service, or banking/financial services environment.
- Basic to intermediate proficiency with Microsoft Office Suite (Outlook, Word, Excel).
- Comfort learning and adapting to new software platforms, CRM tools, and financial transaction software.
- Strong basic math skills for accurately reviewing expenses, invoices, and processing client monetary requests.
- High degree of accuracy when handling sensitive documents, processing financial transactions, and maintaining compliance records.
- Ability to prioritize everyday tasks, manage calendars, and meet deadlines in a fast-paced environment.
- Professional written and verbal communication skills for drafting client correspondence and interacting with executive team members.
- A self-starter attitude with a strong commitment to following up on multi-step transactions until fully resolved.
- Ability to handle confidential client information and sensitive financial records with absolute integrity.
- Familiarity with financial industry regulations, compliance standards, or wealth management documentation is a plus.
- Prior experience supporting executives or financial advisors is a plus.
