Across the globe, Lilly employees work to discover and bring life-changing medicines to those who need them, improve the understanding and management of disease, and give back to communities through philanthropy and volunteerism.Role OverviewAs an Administration Assistant you will be providing dedicated support to our VP of Global Regulatory Affairs – EMEA and wider senior management team, you will be responsible for diary management, travel arrangements and budgets, expense reports, email maintenance and organising large scale meetings and conferences, ensuring all necessary presentations and agendas are organised and ready. As this role will be working with our Senior Executives globally there is a wider scope of tasks you will naturally be involved with, from Onboarding/offboarding, setting up and monitoring processing for invoices, providing quarterly updates and end of year figures, liaising with external parties including regulatory agency.
Once in role you will maintain a good level of understanding of the senior management team to anticipate and support when required, working closely with other departments/functions onsite to share good practices, resolve any issues promptly and offer overall cross departmental support.
Key Requirements
Previous experience in Senior Administration roles, supporting senior management/high level executives
Highly proficient in the use of standard office software Including document, spreadsheet and presentation creation, e-mail and calendaring tools and the Internet – with the ability to determine optimal tools for different situations
Strong communication skills to adapt to different working styles and levels
Highly developed sense of Integrity and confidentiality, including the ability to Identify and interpret where issues are confidential or sensitive
Understanding of cultural differences, particularly across Europe, with the ability to effectively articulate in English with different nationalities
Ability to quickly build relationships and credibility with senior Company executives, and adapt working style accordingly
Ability to achieve results proactively and reactively with minimum supervision, and often where guidance and support is not readily available
Highly developed planning and organizational skills, at a level to manage administration of highly visible and high impact projects, potentially involving large numbers of internal and external people.
